CAROLINA ELITE FORCE HANDBOOK
Program Rules and Regulations
Carolina Elite Force is committed to ensuring an equal opportunity for all students. No person based on race, religion, color, origin, etc. will be excluded from participation in, be denied benefits or otherwise subject to discrimination under any program.
Carolina Elite Force will be closed when the DCSD schools are closed. If school is canceled due to inclement weather while the children are in school, Carolina Elite Force will also be closed.
Carolina Elite Force will NOT provide a daily nutrition afternoon snack. However, parents/athletes are allowed to bring any nutritional snacks and beverages deemed necessary for their practice/class/event time to promote health and wellness during their activities.
Although we request your cooperation in not disturbing the program, parents are welcome to visit our program. We ask that you notify management/staff within a reasonable amount of time prior to visiting the facility due to safety precautions.
While every attempt is made to protect your child’s personal property, Carolina Elite Force will not be held responsible for any lost, damaged, or stolen personal belongings brought to the facility including Carolina Elite Force.
Positive Reinforcement is our primary method of maintaining discipline at Carolina Elite Force. In cases where our discipline procedures or time-out, isolation, counseling, parental contact, and/or behavior redirection are not effective, the child may be removed from the program however, ONLY BY THE PROGRAM DIRECTOR/MANAGEMENT.
Carolina Elite Force will not administer medication. If a child’s temperature reaches 101 degrees, or the child appears to be ill, the parent will be called immediately to pick up the child.
In the event of an emergency, Carolina Elite Force has the permission of the parent/guardian to administer first aid or emergency medical treatment, if necessary for the child’s welfare.
In order to meet any and all special needs/requirements of a child Carolina Elite Force has the parents permission to coordinate efforts with DCSD.
It is understood by the parent/guardian that children in our care are subject to interview by Child Care Licensing, DCSO Special Investigations and/or law enforcement for investigative purposes and/or for determining our compliance with South Carolina Licensing Requirements.
The parent/guardian agrees to pay the tuition fee as set forth by Carolina Elite Force. Checks should be made payable to “Carolina Elite Force.” The parent/guardian agrees to pay a $35 additional fee for any checks returned by the bank.
The parent/guardian agrees to pay an additional fee of $5 per 15 minutes, per child. The time is determined by the clock at Carolina Elite Force. Time will start at 8:35 PM.
The parent/guardian agrees to notify Carolina Elite Force in writing one month in advance of the removal of their child from the program. Parents/guardians will not be provided a refund even in the event of notice of removal from the program.
If a student will be absent due to illness, vacation, family emergency, please notify Carolina Elite as soon as possible of the duration of the absence.
Student Internet use should be limited during their time at Carolina Elite. Misuse of their electronic devices during their time at Carolina Elite Force may result in disciplinary action and/or suspension.
Athlete Rules and Regulations
Every athlete in the Carolina Elite Force Program must promote positive behavior and will refrain from negative behavior such as bullying, harassment, disrespect and use of profanity.
Athletes and parents must understand that on the third consecutive unexcused absence from practices, camps, classes, competitions, or any scheduled event held by the Carolina Elite Force Program will result in immediate removal from the program. No exceptions.
NO GUM is allowed at practices, camps, classes, competitions, or any scheduled event held by the Carolina Elite Force.
Students may bring a water bottle, but must fill it before practices, camps, classes, competitions, or any scheduled event held by the Carolina Elite Force begins.
Food/Snacks may only be eaten in the student designated areas or classrooms if your child is registered for the afterschool program. There will be snack/food breaks for students and the students may only eat during these specified times.
NO FOOD will be allowed during scheduled practices, camps, classes, competitions, or any scheduled event unless specified otherwise.
Appropriate assigned team clothing and accessories should be worn at all times but not limited to practices, camps, classes, competitions, or any scheduled event (including shoes, socks, shorts, sports bras, tops, bottoms, bows, and/or hair/makeup requirements).
You must attend all practices unless you are excused and have notified Carolina Elite Force within a 24 hour time-period. You are responsible for finding out what was covered in that specific practice, rehearse on your own, and come to the next scheduled practice knowing the missed material.
Uniforms, accessories, and shoes should be clean at ALL times and free from odor.
NO loaning of practice wear, shoes, uniforms or any other apparel to any other person.
No visible tattoos at practices, camps, classes, competitions, or any scheduled events within the program.
NO JEWELRY is allowed to be worn AT ANY GIVEN TIME. NO EXCEPTIONS. This is considered a safety violation.
Hair will need to be securely tied up and off the athlete’s shoulders at all times (unless instructed differently by the staff). During competition season, hair color needs to be a natural color and length should not exceed pass the athlete’s middle back area (hair length is considered a safety violation and can result in score penalties and/or violations).
Fingernails will need to be cut during the full duration of the season according to safety guidelines.
When practicing or when a planned competition is in effect. NO fingernail polish and NO Acrylic Nails should be worn.
Athletes should strive to be at practice 15 minutes early as well as, picked up at the set dismissal time (please do not exceed more than 15 minutes late for drop-off OR pickup).
Suspension:
The following behavior justifies suspension from the Carolina Elite Force Program. Suspension is our last resort, used only when other steps taken to resolve the issue have been unsuccessful.
A child or family member/ parent/guardian’s behavior or actions threaten or endanger the safety or well-being of other children or staff.
Failure to adhere to rules and regulations and information provided in the parental contract.
Dismissal:
The following behavior justifies permanent dismissal from the Carolina Elite Force Program. More than one incident may result in permanent dismissal. Once the incident has been reviewed by Management/staff, a course of action will be provided to the athlete and parent/guardian.
1. Missing more than 3 or more practices, camps, classes, competitions, or any scheduled event held by the Carolina Elite Force un-announced without PRIOR NOTICE.
2. Use of drugs, alcohol, tobacco, or any controlled substance.
3. Vandalism, stealing or forgery.
4. Any other action by participant/parent or guardian that is deemed a violation of program rules and regulations.
5. Failure to pay monthly tuition fees for 30 days.
Parent Expectations:
Parents are expected to assist in preparing your child/children for the program. Providing them with any and all material necessary for their time at our facility. Parents/guardians are expected to have a positive outlook and appropriate behavior. If there is an issue with how your child is being treated, please contact the management/staff. Carolina Elite Force will set up a meeting to discuss concerns. Any parent, who is talking in a negative way about the program, management/staff, other parents or child/children will be asked to have a meeting to address their concerns/issues.
sOCIAL mEDIA pOLICY & mEDIA rELEASE coNSENT
Carolina Elite Force acknowledges and recognizes that online social platforms, including but not limited to blogs, wikis, message boards, video photo sharing websites, and social networking services, are constantly transforming the way we interact. We also recognize the importance of the Internet in the way it shapes and promotes the public view of our program. Our program is committed to supporting your right to interact responsibly and knowledgeably on the Internet through networking services and interaction on social media, however, we have clear expectations and standards for those interactions; not only for the program’s protection but the athletes themselves.
The purpose of these guidelines is two-fold: First, Carolina Elite Force has an aim to protect our interests, including, but not limited to, the privacy of our staff, athletes, and regarding our programs purpose, plans, and reputation. Second, these guidelines will help you make respectful and appropriate decisions when representing our program and yourself online.
OUR GUIDELINES INCLUDE:
1. Use common sense.
2. Follow the standard rules of the social media sites you use.
3. Speak respectfully about the program and our current, past, and/or potential athletes
4. Write knowledgeably, accurately, and with appropriate professionalism.
5. Refrain from publishing anything that could reflect negatively on our program.
6. Please show respect for topics that may be considered objectionable or inflammatory.
7. Respect the law, including those laws governing defamation, discrimination, harassment, and copyright and fair use.
ACTIONS THAT MAY RESULT IN IMMEDIATE REMOVAL FROM THE PROGRAM:
1. Posting about drugs or alcohol - in any form.
2. The use of profanity (this includes but not limited to verbally, physically, posting in comment sections/captions, and/or using songs that have profanity in them)
3. Do not use ethnic slurs, personal insults, obscenity, or engage in any conduct that would not otherwise be acceptable by Carolina Elite Force.
Your personal online activity is your business. However, now that you have chosen to be a part of our program, please understand we hold all of our athletes to a certain standard. Any social media activity that may affect your performance.
Media Release Consent
For valuable consideration, the receipt of which is hereby acknowledged, I give Carolina Elite Force permission to photograph, film, and/or record my child’s voice and image. I understand that these photos, videos, and audio recordings may be used—alone or combined with other media—for promotional, advertising, marketing, or other business-related purposes.
I acknowledge that the term “photograph” includes both still images and video recordings.
By checking the box and signing below, I voluntarily release Carolina Elite Force, along with its affiliated organizations, employees, agents, representatives, and any associated marketing partners, from any and all claims or liabilities related to the use of these recordings or images.
STUDENT LIABILITY RELEASE
I acknowledge that my child (or the child for whom I have legal custody) has voluntarily chosen to participate in one of the programs offered by Carolina Elite Force. I understand it is my responsibility to be aware of any physical limitations my child, or myself may have and to inform the program of these limitations. I recognize that participation in events, classes, practices, workshops, camps, intensives, rehearsals, performances, competitions, or other related activities carries a risk of physical injury or, in rare cases, death. By allowing my child to participate, I knowingly and voluntarily accept all reasonable risks and responsibilities associated with such activities. I understand that my child may, at times, be transported by an agent of Carolina Elite Force—such as from and to the after-school program or to and from competitions, conventions, or other events—as a convenience to parents. I acknowledge that Carolina Elite Force is not responsible for any injury or accident during such transportation unless it results from negligence or willful misconduct by Carolina Elite Force or its agents. I voluntarily agree to release, indemnify, and hold harmless Carolina Elite Force, including its owners, agents, volunteers, assistants, employees, guest instructors, faculty, independent contractors, and/or students, from any and all liability, claims, demands, or causes of action related to any injury, death, loss, or damage to me, my child, or our property that may arise from participation in any class, activity, or event conducted by Carolina Elite Force. Additionally, I waive any right, now or in the future, for myself, my child, my heirs, or legal representatives to hold Carolina Elite Force, or any of its representatives or affiliates, liable for any such claims.
USE OF TRAINING & CONDUCT ACKNOWLEDGEMENT
I acknowledge and understand that the instruction, skills, techniques, conditioning, movements, and training provided by Carolina Elite Force / The Lions Den, across all programs and classes, are intended solely for supervised instruction, athletic training, fitness, skill development, and recreational or competitive participation within the gym environment. I agree that I will not misuse, demonstrate, or apply any techniques, skills, or training learned through Carolina Elite Force in a reckless, unsafe, unlawful, aggressive, or harmful manner, including but not limited to physical altercations, intimidation, or actions that could cause injury to others outside of the gym or without proper supervision. I understand and acknowledge that Carolina Elite Force, its owners, coaches, instructors, staff, affiliates, and facility operators shall not be held responsible or liable for any injuries, damages, losses, legal consequences, or claims resulting from the unauthorized, inappropriate, or harmful use of any training, skills, or techniques learned during participation outside of Carolina Elite Force facilities or programs. I further acknowledge that any use or application of techniques, skills, or training learned through Carolina Elite Force outside of supervised instruction is done at my own risk, and I assume full responsibility for my actions and any resulting consequences.
FEES AND PAYMENTS
Monthly fees shall be paid by the 1st of each month. Failure to pay this fee by the 5th of each month will result in an additional $10 late fee (per athlete). If a payment is not paid for 30 days I am aware that my child will automatically be withdrawn from the program and legal action may be taken in regards to any outstanding balances.
CLASS WITHDRAWAL POLICY
If you wish to withdraw from a class prior to the end-of-season showcase, a 30-day written notice is required. Notice may be submitted via email to carolinaeliteforce@gmail.com or delivered as a written letter to the front desk.
Please be aware that you are financially responsible for tuition until the 30-day notice period has been completed and formally accepted. Tuition is not prorated, and full monthly tuition will be charged regardless of attendance. Non-attendance does not exempt you from payment obligations during this period.
I understand and agree to all information provided in this packet. I am aware that my child must abide by the rules and regulations established for this program.
